Booking Terms & Conditions
- PAYMENT – A valid credit card is required to be provided at the time of booking. The supplied credit card will be debited prior to arrival and if arriving outside of reception hours, you will receive a text message advising of your key collection details. Payment upon check-in, by card or cash, may be provided but only when arranged with Management prior to your check-in date. If payment is made with cash, valid credit card details must still be provided as security. Credit card details are held for the duration of the stay for security purposes only.
Online Bookings – Full payment for your stay will be processed at the end of the free cancellation period, and prior to your arrival date without prior notification.
School Holiday, Easter, and Christmas (Peak) Seasons – Full payment for your stay will be processed between 1 – 3 days prior to your arrival date without prior notification during our Peak Seasons.
Please note: Failure to provide a valid credit card (including with sufficient funds to cover the transaction) may result in the cancellation of your booking without prior notification.
Security Bond – We reserve the right to charge a Security Bond to any guest. We will notify you of this charge at the time of booking or check-in. This security bond is refundable to the supplied credit card upon check-out, if the room, on vacating, is left in an appropriate condition and the room key is returned. Once the refund has been processed, a text message advising of such will be sent. The refunded amount may take 3-5 business days to appear back into your account – this period is directly linked to your banking institution, and you will need to contact them. We have no control over and cannot change this period.
- CANCELLATIONS – Management reserve the right to cancel any booking without further notice. Cancellations or changes to bookings made less than 24 hours prior to 2pm on the day of check in may be charged the full amount of the first night’s tariff. Please call 02 6586 0699 to advise of any changes or cancellations.
Online Bookings – Management reserve the right to cancel any booking. Any cancellation or modification of your booking must be done through the online booking platform used for your original booking. Cancellation fees may be applicable.
School Holiday, Easter, and Christmas (Peak) Seasons – Cancellations less than 72 hours (3 days) prior to your check-in date, or No-Shows, will be charged the full amount of the first night’s tariff.
- CHECK IN/CHECK OUT TIMES – Check-in is from 2pm on the day of arrival. Check-out is by 10am on the day of departure.
Reception is open from 9.00am till approximately 6:00pm Monday to Friday, and as required on Saturday & Sunday.
If you have not arrived prior to Reception closing, check-in will be available using our Self Check-in Kiosk. You will receive a text message to the mobile number provided when booking, with instructions on how to access your key from the Self Check-in Kiosk. Please note that quiet time is from 10pm so if arriving after this time, we ask that you keep noise to a minimum so as not to disturb other guests.
Early check-in or late check-out times are fully dependent upon our other bookings and are only available with prior approval from Management which will only be given the day prior to arrival. If these are approved by Management, you may be charged an additional fee at our discretion.
School Holiday, Easter and Christmas (Peak) Seasons – Early check-ins and late departure times will not be approved during Peak Seasons.
- The primary guest and/or the entity responsible for booking & payment, will be responsible for full payment of this reservation and agree that any fees, charges, or other expenses incurred in relation to any breakages, loss or damage, additional cleaning, repairs, replacement items including pillows, cushions, linens and the like, additional accommodation and other service fees may be charged if caused by you or your invitees. An invoice will be sent for any additional charges and payment applied to your credit card.
Theft of any of our property, including pillows, cushions, blankets, linens etc, will not be tolerated and will charged to the registered guest accordingly.
Any room not left in a reasonable state of cleanliness at the time of guest departure, will incur an additional cleaning fee of $250.
- SMOKING – WE ARE A NO-SMOKING VENUE. SMOKING IS ONLY ALLOWED IN THE DESIGNATED SMOKING AREA. Under NSW Government Legislation, there is to be no smoking inside any of our rooms or within 4m of any of our buildings including entrances to any motel rooms, building entryways, corridors, gazebo & BBQ areas or cabin patio areas. Penalties will apply if this rule is broken. All rooms are fitted with a Smoke detector for your safety. They are EXTREMELY SENSITIVE. If fire alarms are activated as a result of smoking, negligence, misuse of property, or by using a cooking appliance that we did not supply in your room, and the local fire service attend, a call out fee of $1300 will be charged. Any tampering with the smoke alarms will result in termination of your booking and will incur a penalty fee.
There is a designated smoking area at the front of the motel in the courtyard area and beside the tennis court at the rear of the complex.
- ROOM FACILITIES – Some of our rooms are equipped with basic cooking facilities where practicable. Use of any item of cooking equipment not supplied by us in the rooms, including additional kettles, without our approval, is STRICTLY PROHIBITED. All rooms are fitted with highly sensitive smoke detectors and a Call-out fee of $1300 will apply if they are activated by a prohibited activity.
- ROOM KEYS – All room keys are to be returned on check out, either to Reception or to our Key Return box. Failure to return your key will result in a $200 replacement fee for any lost or damaged keys.
After-hours attendance for a lost key or room lockout may incur a $50 fee for each incident.
- EXTRA GUESTS/VISITORS – No extra guests are permitted to reside or stay at the motel without prior consent from Management. If permitted, extra charges will apply.
Guests are permitted to have visitors to the property within reason. All visitors must register their arrival at Reception (if open) or notify staff on the motel phone number.
- Management has access to your room at all times, at your convenience, for cleaning, maintenance and/or emergencies.
- CLEANING AND SERVICING – For the safety of our staff and guests, we do not service rooms on short stays of less than 5 nights. If staying for 5 nights or longer, we will discuss with you when is convenient for us to service your room. Please note that room services will not be carried out on weekends or public holidays and will be scheduled around these days if applicable.
All rooms and cabins are thoroughly cleaned prior to and after your stay. Each room includes linen and towels for the number of guests on your booking. Additional tea, coffee, toiletry supplies, and extra towels are available from Reception if required during your stay. Extra persons are at an additional charge on a per night basis and will be listed on your booking if included. All rooms have basic tea & coffee supplies. There is a supermarket located close by for additional supplies if you need.
- “No Party” Policy – Timbertown Motel has a strict “No Party” policy. Loud noise and/or anti-social behaviour will not be tolerated and if after-hours staff, security or NSW Police are called due to guest issues, an after-hours call out fee of $200 will apply and will be charged to the supplied credit card and your booking may be cancelled and you asked to vacate the premises.
- QUIET TIME – For the motel is from 10pm to 7am.
- Guests and their invitees use the motel facilities, equipment, and carparks at their own risk.
- Timbertown Motel shall not be responsible for personal injury or be liable to compensate guests or their visitors for loss, theft or damage of any vehicle or personal property on or brought into the premises. Management strongly advises guests to securely lock their accommodation and motor vehicle when unoccupied or unattended.
- Management will endeavour to return any property left behind at the guest’s expense where possible. Lost property will only be held for a period of 7-days before being discarded.
- POOL/GAZEBO AREAS – Our pool is available for use by all guests between the hours of 7.30 am and sunset. Please be respectful of other guests and keep noise to a minimum. For your safety, please also follow the rules which are clearly signed around the pool area. CLIMBING ON, JUMPING OR DIVING FROM THE WALL OR FENCE IS STRICTLY PROHIBITED. Anyone seen doing any of these will have use of the pool denied. All children under the age of 12, must have adult supervision at all times whilst in the pool area. No glass is allowed in the pool area at any time for the safety of other guests.
Pool towels are provided for guest use and are available at Reception. Please note that if the towels are not returned at the end of your stay, there will be a $5.00 per towel fee charged to the supplied credit card to cover the replacement costs.
Use of the BBQ areas are available for all guests. Basic utensils are stored in the plastic containers on the BBQ shelves. Cleaning supplies are also in the plastic containers, and we ask that the BBQs are cleaned thoroughly after using.
- TENNIS COURT – Our tennis court is available for use by all guests between the hours of 7.30 am and sunset. Please be respectful of other guests and keep noise to a minimum. We also ask that you respect our court and do not climb on or over the court net, do not climb on the fencing and to remove any rubbish from the court when leaving. All children under the age of 12, must have adult supervision at all times whilst using the court. No glass is allowed in the court area at any time for the safety of other guests. Racquets and tennis balls are available in the Guest Services Room and must be returned once finished being used.
- GUEST SERVICES ROOM & GUEST LAUNDRY – Our Guest Services Room is available for use by all registered guests between the hours of 6am – 8pm and can be accessed using your room key, or if staying in one of the cabins, the rounded edged key. All facilities in the room are for use freely by our guests, however we do ask that you leave it in a clean & tidy state and any dishes used are washed and dried after use. If you choose to leave any food items in the fridge or freezer provided, we recommend that they are labelled, and we take no liability if they are consumed by others.
The Laundry is also for guest use within the above hours. The washing machine and dryer are both coin operated by 4x $1 coins for each load. Coins are available from Reception as is laundry powder sachets.
The Guest Services Room & Guest Laundry is monitored by 24hr security cameras so any damage caused will be charged back to your supplied credit card.
- SPECIAL REQUESTS – If you have requested a specific room when booking, every effort will be made to accommodate your needs however, special requests are subject to availability and cannot be guaranteed. We highly recommend when booking (either directly or by a third party) that you clearly state if a ground floor room is required. If not clearly stated when booking, we cannot guarantee that one will be available upon arrival.
- BUNK BEDS – Children under the age of 9 years are not permitted to use the top bunks as per the Australian/New Zealand Standard (AS/NZS 4220). We also request that adults and older teenage children do not use the top bunks due to weight limits.
- ROOM RATES – Room Rates are current at the time of booking but may be subject to change without notice. Specials or discounted rates are not available to be used for booking extensions. Rates are based on the number of guests advised at booking and surcharges will apply for additional occupants. No charges apply for infants under 2 years of age if not sleeping separately to parents. Charges apply for any beds being used.
- Offensive language, bullying, intimidation, general misbehaviour, excessive alcohol consumption and excessive noise is NOT accepted. This will not be tolerated, and you may be asked to vacate the motel immediately. Children are not to be left in the motel alone or unsupervised.
- Bikes, scooters and/or skateboards and remote-controlled toys (excluding mobility scooters and motorised wheelchairs etc) are not permitted to be ridden around the motel complex or on the tennis court at any time.
- PETS – Pets are not permitted within the motel complex without prior approval from Management. If Management does approve a pet to stay, an additional cleaning fee of $30 will apply. Guide Dogs and other certified therapy pets are allowed if certification is shown.
